    Tracking plot progress across a development

    The whiteboard in the site cabin is the tool this replaces. It works, right up until the site manager is out on plot 34, the contracts manager is in the office wanting a number, and the only accurate copy of the information is a wall in a portakabin twelve miles away.

    The tracker above is that whiteboard, updated from a phone, visible to everyone who needs it. Each row is a plot; each plot carries its house type, its current stage, a completion percentage derived from how far through its stage sequence it is, and the CML date the programme currently supports.

    How the percentage is calculated

    Progress is weighted by stage duration rather than counting stages. A plot that has completed foundations and superstructure is not two stages out of fourteen — it is the proportion of the total planned programme duration those stages represent. That keeps the number honest: finishing trades are many short stages, and counting them equally would make a plot look nearly complete when the roof is barely on.

    Reading the behind-programme flags

    In the sample above, plots 03 and 07 are flagged behind. Plot 03 is at plastering and blocked by a short plasterboard delivery; plot 07 is at blockwork to DPC. Both required a reason and photographic evidence when the status was set, so the contracts manager reviewing the site on Friday can see not just that two plots are late but exactly why, without ringing anyone.

    From tracker to board report

    Everything on this screen exports to Excel in one click — plot, house type, stage, percentage, CML date, delay reasons and the dates each stage was completed. That is the report most housebuilders currently spend a Friday afternoon assembling by hand, and it is the reason the underlying history is worth capturing properly as the site runs rather than reconstructing it at month end.

    Frequently asked questions

    How many plots can I track?
    The tracker is built and tested for developments up to around 200 plots on a phone, with bulk actions batched so a site-wide update stays responsive. Larger schemes are usually split into phases, which ProPlot treats as separate projects.
    What is the CML date and why does it matter?
    CML — cover me legal — is the point a plot is signed off as complete and can be legally sold. It is the date sales, finance and the board all care about, so every stage in the programme ultimately exists to protect it. ProPlot recalculates it as stages move.
    Can I rename plots to match our numbering?
    Yes. Plots, units, apartments and zones can all be renamed, and you can set a custom prefix per project so the app matches the numbering on your drawings rather than forcing a generic scheme.
    Does it work with apartments and flats?
    It does. Blocks can be broken into cores, floors and individual flats, each with its own stage history, which is how high-rise and RC frame schemes are tracked rather than treating a whole block as one unit.
    What happens with no mobile signal?
    Updates are captured on the device and queued. When signal returns they sync in order, so a morning walk round a plot with no coverage is not lost — a common situation on UK sites and the reason the app is offline-first.
